What is icibot Pre-Stay and how does it work?

icibot Pre-Stay is a hotel pre-arrival module that automates welcome emails, mobile check-in, upsell offers and digital guest information between booking and arrival. When a reservation syncs from your PMS, guests receive branded touchpoints to complete registration and browse services. Your team sees preferences and purchases before guests arrive, enabling faster, more personalized check-in.

How does pre-stay upselling increase hotel revenue?

Guests are most receptive to upgrades and add-ons when anticipation is high — days before arrival, not when tired at the front desk. icibot sends targeted offers for room upgrades, spa, F&B and experiences based on stay dates, guest segment and booking source. Properties typically see 30–45% higher ancillary conversion compared to desk-only upselling.

Is icibot Pre-Stay difficult to set up?

No. Most hotels launch pre-arrival emails and mobile check-in within the first week. icibot onboarding configures PMS sync, email templates and upsell rules. No hardware is required — everything runs in the cloud. Staff training focuses on the arrival dashboard, which takes under an hour for front-desk teams.

What if guests do not open pre-arrival emails?

icibot supports SMS reminders, PWA links and QR codes in addition to email. Check-in links can be embedded in booking confirmations and OTA messages. Guests can also complete registration via in-room tablet or front-desk kiosk as fallback — but properties with multi-channel pre-stay outreach typically achieve 85%+ engagement.

Does Pre-Stay integrate with Opera, Mews, Apaleo and other PMS platforms?

Yes. icibot connects to major PMS systems via native connectors and Open API. Reservation data, guest profiles and folio charges stay synchronized automatically. Multi-property groups can run centralized pre-stay campaigns while each hotel maintains local service catalogs and branding.

Can we customize pre-arrival emails with our brand?

Absolutely. Every email, SMS and guest-facing page uses your logo, colors, imagery and tone of voice. Drag-and-drop editors let marketing teams update content without developers. A/B testing helps optimize subject lines and offer placement for your specific guest demographics.

Is mobile check-in through Pre-Stay legally compliant?

icibot registration forms are configurable to meet local hospitality regulations — ID capture, signature fields and police reporting where required. Data is stored in GDPR-compliant EU data centers with ISO 27001 certified infrastructure. Your legal team can review field requirements during onboarding.

How does Pre-Stay connect to the rest of the guest journey?

Pre-Stay is the first phase of icibot guest journey software. Data captured pre-arrival flows into in-stay messaging, room service and concierge modules, then into post-stay feedback and loyalty campaigns. One guest profile follows the traveler from booking to repeat reservation — no duplicate data entry.
