How does icibot work technically?

icibot is a cloud SaaS platform hosted in EU data centers. Guests access your property instance via web, app or tablet; actions create tasks and data events in real time. Staff use a mobile app and web dashboard. Integrations sync reservations, folios and orders with your PMS and POS via secure APIs. No on-premise servers or hardware purchase is required.

Do we need to buy tablets or kiosks?

No — most properties start with guest smartphones and PWA links. In-room tablets and kiosks are optional enhancements. QR codes on existing signage give instant access at near-zero cost. You can add hardware later where it improves the experience, such as luxury suite tablets.

Which PMS systems does icibot integrate with?

icibot offers connectors for Opera, Mews, Apaleo, Protel, Elektra and other major PMS platforms, plus Open API for custom setups. Integration typically covers reservations, guest profiles, check-in status and folio posting. Our onboarding team maps your specific data flows during implementation.

How long does implementation take?

Core modules — pre-stay email, mobile check-in and digital directory — often go live within 3–7 business days. Full deployment with F&B ordering, messaging and staff app may take 2–4 weeks depending on integration complexity. No construction, cabling or hardware lead times.

Is icibot secure and GDPR compliant?

Yes. icibot uses ISO 27001 certified infrastructure, GDPR-compliant EU data centers and encrypted data in transit and at rest. Role-based access controls limit staff visibility. Data processing agreements are provided for EU hotel operators. Regular security audits and penetration testing maintain standards.

Can icibot work without PMS integration?

Yes. Standalone mode supports manual guest import, channel manager links and direct check-in on the platform. This suits smaller properties or pilot programs. Most hotels add PMS sync early because automation saves significant staff time and eliminates double entry.

How do guests access icibot — app download required?

Guests can use PWA links, SMS, email, QR codes, Wi-Fi captive portal, in-room tablet or your branded native app. icibot is channel-agnostic by design. Properties choose the mix that maximizes adoption for their guest demographic.

Does icibot support multi-property hotel groups?

Yes. Group dashboards manage brand standards, shared CRM and cross-property campaigns. Each property maintains local menus, pricing and content. Central analytics compare performance across the portfolio. Role permissions let regional managers oversee their cluster without seeing unrelated properties.
